Information we receive from other people
Not all of the personal information held through Workshop Partner or Workshop Foreman is given to us directly by the person it relates to. Some of it reaches us because somebody else involved in the work provides it.
This can include:
- supplier contact details provided by a customer
- service-provider contact details
- engineer details
- site contact details
- users added to a Workshop Foreman account by a customer organisation
- details of the person who reported a fault
- information contained in uploaded service records, certificates, job sheets or photographs
That information may be supplied by the customer's organisation, another authorised user of their account, a service provider, an engineer, or another person involved in the relevant workshop or service activity.
Where this information comes to us through Workshop Foreman, we normally process it as part of providing the service to the customer organisation, which decides what is recorded and why.
We do not buy contact databases and we do not obtain personal information from data brokers or list vendors.

- Where analytics runs, Google processes standard web analytics information on our behalf, and IP addresses are anonymised.
Who we share information with
Service providers and specialists
For Workshop Support we may give the selected specialist or service provider the minimum information they need to understand the requirement, contact you, arrange attendance and carry out the requested work. They may contact you directly where that is necessary to arrange the job.
Technology providers
Trusted technology providers process information so we can run the service. This currently includes our application hosting and platform provider (Lovable), our database, authentication and file storage provider (Supabase), our email delivery provider (Resend, used through our platform's managed email service) and Google (Google Analytics, which runs on our public website only where you have accepted analytics cookies).
Legal and regulatory
We may disclose information where required by law, or where reasonably necessary to establish, exercise or defend legal rights.
We do not sell personal information.
How long we keep information
Our intended retention approach is set out below. Periods may be extended where there is a specific legal, regulatory or security reason to do so.
| General enquiries that do not convert | 24 months |
| Quotation requests that do not become an order or project | 24 months |
| Workshop Support jobs and transactions | 6 years after completion |
| Unsuccessful Workshop Foreman beta applications | 12 months |
| Workshop Foreman data after account cancellation | 90-day recovery/export period, then deletion unless legally required |
| Workshop Foreman activity and audit records | 24 months by default |
| Abandoned Workshop Support uploads | 7 days |
| Marketing subscribers | while subscribed, plus evidence of consent |
| Marketing opt-outs (suppression list) | minimum record kept indefinitely to honour opt-outs |
International transfers
We are based in the UK and we aim to keep personal information within the UK or Europe wherever we can. Some of the technology providers we use to run the service may process personal information outside the UK, where that forms part of how their service works.
Where a transfer of that kind is a restricted transfer under UK data protection law, we will require an appropriate safeguard to be in place before relying on it — for example UK adequacy regulations covering the destination country, or an appropriate contractual safeguard recognised under UK data protection law.
We are completing our review of these arrangements with each provider ahead of launch. If you would like to know where the information relating to you is processed, contact james@workshoppartner.co.uk and we will tell you what we can.
Your rights
Depending on the circumstances and the reason we are using your information, you may have the right to:
- ask for access to the personal information we hold about you
- ask us to correct information that is inaccurate or incomplete
- ask us to delete information
- ask us to restrict how we use information
- object to our use of information
- ask us to transfer certain information to you or another provider
- withdraw consent where we rely on consent
Not every right applies in every situation — for example, we may need to keep certain records for legal or contractual reasons. Where information belongs to a Workshop Foreman customer organisation, we may need to direct your request to that organisation.
You can withdraw marketing consent at any time using the unsubscribe link in any marketing email, or by contacting us.
To exercise a right, or if you are unhappy with how we have handled your information, contact james@workshoppartner.co.uk, or use our data protection complaint form. You can also raise a concern with the UK Information Commissioner's Office (ICO) at ico.org.uk.
Your right to object
Where we rely on legitimate interests to use your personal information, you may have the right to object to that use. If you object, we will consider your circumstances and whether we have compelling legitimate grounds to continue processing the information.
You can object to direct marketing at any time. If you tell us to stop using your information for direct marketing, we will stop.
Every marketing email includes an unsubscribe link that takes effect immediately, and you can also object by emailing james@workshoppartner.co.uk.

We will update this notice when our services or the way we use information changes. The version and effective date are shown at the top of this page.
